Job Description:

Our client is seeking a dynamic Corporate Administrative Assistant for their corporate headquarters in Schaumburg, IL. Reporting directly to the Chief of Staff, this role is crucial in providing administrative and functional support to the Regional Leadership team, contributing to the overall success of the organization. The incumbent will play a key role in maintaining a positive and professional image.

Key Responsibilities:

Front Desk Operations: Act as the first point of contact for headquarters, managing site access, and providing directional support.

Confidentiality Management: Handle sensitive matters with the utmost confidentiality and discretion.

Document Preparation: Create and prepare various documents, including presentations, reports, and correspondence, in support of organizational objectives.

Facility Support: Oversee general administrative and facility support, including managing the Merchandise Shop and Training Center as needed.

Project Support: Contribute to ad hoc projects across multiple functions, including HR, Finance, Marketing, and Operations.

Coordination and Logistics: Coordinate meetings, training classes, and travel arrangements. Assist with agenda setting, take meeting notes, and manage audio/visual and catering set-up.

Administrative Functions: Perform administrative duties such as maintaining meeting room schedules, updating reference information, and reconciling financial records related to administrative expenditures.

Representation: Represent the company positively through excellent follow-through and sound judgment.
